One shared knowledge store for everyone – or several?
Facts as of October 17, 2026
In detail
Each person keeps their own store; it remains the authoritative source. Only what someone consciously shares goes into a team vault: a workflow, a prompt, access to some data. Nobody puts everything in – but the more, the better it works.
One person can be in several team stores: in the small one of their specialist unit and in a large one open to everyone in the organization. That's where things everyone needs go, such as a routine for travel expense claims. Which store fits depends on the subject matter.
This way, small teams keep part of their knowledge to themselves. That's intended: they should be, and stay, effective as a team in their own right.
In practice
At first Thomas J. Weiss had one team store for everyone. It also included people who didn't really work together and had reservations about sharing their knowledge with other departments. Nothing had happened; he feared that, because of this, nobody would put anything in. He narrowed the circle and formed a more logical unit; the others got one of their own.
… in this case, teams are units of trust that first have to be created.
